Happy Fall, y’all! It’s my favorite time of year – the air gets crisper, the mornings cooler, and the leaves begin to fall like warmly colored snow when the wind blows ever so gently!
Okay, I got carried away there. Back to reality…it’s also the time of year when many folks begin registering their teachers for PD. As CASIE’s Senior Registration Manager, I want to give you the information you need to breeze through our registration system. We know you have a lot going on during the school day, and registering your teachers shouldn’t mean guesswork for you.
Before You Begin
A little preparation can save you time once you open the CASIE event registration form. Before you begin, check:
Teacher availability:
Can the participant attend the entire workshop? Oh boy, I cannot stress this enough! Full attendance is required by the IB to receive a certificate of completion. If your teachers miss any workshop time, be it because of vacation travel or any other excuse, that will affect their credit hours. I cannot stress enough that to make the best use of your registration funds you and your teachers should plan for a synchronous Zoom workshop just as you would for an in-person workshop. Set aside the entire workshop time to be present, engaged, and on camera. Zoom makes it possible to join from lots of places around the world, but just because you can does not always mean that you should.
Workshop dates and format:
Confirm the dates, daily schedule, and whether the event is virtual or in person. For virtual events, pay attention to the time zone! All CASIE events are delivered on US Eastern Time. Whether we are in Daylight Saving or Standard time schedules will change the conversion to your time zone.
Pricing:
Review the registration fee and confirm who will be responsible for payment.
Registration deadlines:
Check the event’s registration deadline and any pricing deadlines. If you know which workshop you need, give yourself plenty of time to register before the class fills up.
Participant, school, and billing information:
Have the names, email addresses, and other details below handy.
Filling out the Registration Form
Now, let’s walk through the registration form, page by page…
First Page: Choose Your Workshop and Review Our Policies
First, select the workshop your participant needs.
If a workshop is full, click the waiting list link at the top of the page. If a spot becomes available, or if we’re able to open another section, I’ll reach out!
Before moving forward, take a moment to review our registration policies, including cancellation fees, no-show policies, and attendance requirements. You can view that information here.
Second Page: Participant Information
This page asks for the participant’s name, email address, role at school, and years of experience in IB – or in the classroom, depending on the event.
If you’re registering someone else, you can select “I’m registering on behalf of this person.” This allows you to receive your own confirmation email for your records.
We’ll also ask who is completing the registration and how you heard about the event.
You may notice that we ask for an additional or personal email address. Some school email domains block our automated messages, including registration confirmations. Providing another email address gives us another way to get that information to you.
A Quick Note About Food and Physical Assistance
For in-person events, please have the participant’s dietary needs, such as food allergy information or special diet ready. Also please know ahead of time if the have any physical needs such as mobility assistance, nursing room use, etc.
Third Page: School and Billing Information
This is where we ask for most of the organizational information. Having these details ready will help you move through this page more quickly.
School Information
- Type of school: Select the option that describes your school – public school, independent, charter, etc.
- School district: If your school isn’t part of a district, enter “N/A.”
- School IB status: Is your school authorized, in the candidacy phase, or simply interested in the IB?
- Programme: Not an IB school? Select “N/A.”
- IB school code: Only authorized and candidate schools will have this code. If your school doesn’t have a code, enter “N/A.” If you need to find your code, search for your school on the IB website; your school’s listing will include it.
- IB coordinator’s name and email: If you don’t have an IB coordinator, provide the information for the person responsible for PD at your school.
Billing Information
You’ll also need:
- Billing contact’s name and email
- Billing address
Please make sure the billing contact is someone who should receive the invoice and payment information. That helps get everything to the right person from the beginning!
Fourth Page: Registration Summary
This is the next-to-last page, not the final one! Complete this one and keep going!
This page gives you an opportunity to review the information you’ve entered. Check the participant’s name, email address, workshop selection, and school and billing details before clicking “Next.”
Final Page: Payment and Submit
You’re almost there! Review your information, choose your payment method, and click “Submit” to complete the registration.
The payment options include:
- Credit Card or Express Payment
- Check
- Purchase Order
- Wire Transfer
Don’t forget to complete your registration — click “Submit”!
What Happens After You Submit?
Two things will happen:
- You’ll be taken to a confirmation page.
- An automated confirmation email will be sent to the registered participant, the IB coordinator, and the billing contacts you entered. If you identified yourself as registering on the participant’s behalf, you’ll receive a special administrator confirmation email.
The confirmation email includes your registration summary, a link to pay online if you’re paying later, and an invoice you can download.
If you paid by card or express payment during registration, the invoice will reflect that payment.
Save the confirmation email because the invoice in the confirmation email will auto-update once we process later payments, such as a check or wire transfer. When you need an updated copy of your invoice, you can return to that email and open it again.
If you don’t receive the confirmation email, check your spam or junk folder. If you still can’t find it, reach out to me!
Final registration thoughts:
Who Should You Contact?
For registration questions, contact me, Sarah Wells. This includes workshop changes, participant substitutions, name corrections, or questions about completing the form: registration@casieonline.org.
For payment questions, contact Drew Schuler. This includes invoices, payment status, purchase orders, wire instructions, and W-9 requests: accounts.receivable@casieonline.org.
Registering Independently From a School?
Yes, you can absolutely register as an individual! You might be a student, exploring IB, or attending a workshop that your school isn’t paying for.
Some fields are school- or IB-specific, but you can complete them as follows:
Registration field | What to enter |
School email address | Your personal email address |
School | Independent |
School district | N/A |
Type of school | N/A |
Programmes | N/A |
School IB status | N/A |
IB school code | N/A |
IB coordinator’s name | N/A |
IB coordinator’s email | Your personal email address |
Years in IB | Less than 1, if you’re new to IB |
If you’re covering the cost yourself, put your name and contact information in the billing section.
TL;DR
- Before you start: Check availability, workshop dates, format, time zone, pricing, and deadlines.
- Plan travel around the workshop schedule. If your teacher misses any part of the workshop to travel that time will affect their credit hours and may mean they don’t receive a certificate of completion. They should not plan to join their synchronous instruction on Zoom from a phone while driving, in an airport, sitting in a pool, or anywhere but a quiet desk where they can focus on the professional development at hand.
- Have your information ready: Participant details, school information, billing contact and address, and dietary/mobility assistance needs for in-person events.
- Workshop full? Join the waiting list. I’ll reach out if a spot opens or we add another section.
- Registering for someone else? Select “I’m registering on behalf of this person” if you’d like an administrator confirmation email.
- Don’t stop at the summary page! Continue to the payment page, choose your payment method, and click “Submit.”
- Save your confirmation email. It includes your registration summary, payment link, and invoice. The invoice updates as later payments are processed. No email? Check spam, then contact me.
- Registering independently? Use your personal email, enter “Independent” for your school, and use “N/A” where applicable. If you’re paying, use your own billing information.
- Need help? Registration questions go to me at registration@casieonline.org. Payment and invoice questions go to Drew at accounts.receivable@casieonline.org.
